Under the direction of the Executive Assistant Dean of Finance, Operations and Strategic Initiatives, the Office Assistant manages the day-to-day activities of the front desk and lobby area in the College of Health Professions (CoHP). Key areas of responsibility include greeting guests, serving as a point of contact for in-office visitors as well as routing phone calls to the appropriate destination.
Responsibilities
1. Appropriately answer the phone, put callers on hold, and transfer calls. The OA should be consistent in making all phone transactions.
2. Accept and log all deliveries that come to the front desk and distribute accordingly.
3. Maintain the CoHP front desk sign-in log. This log ls used daily to record visitors and guests. The log should be organized, neat, and up to date.
4. Perform duties assigned by College Leadership in a timely manager.
5. Arrive at the desk no more than 5 minutes before your shift officially starts, to allow yourself enough time to be prepared to greet faculty, staff and visitors. Each OA should record their time daily via clock in/out in time keep system.
6. Report maintenance and cleanliness issues in the lobby as well as those brought to your attention
7. Perform upkeep of conference room and meeting areas daily to ensure spaces are readily available
8. Enter tickets for IT and Facilities tor office repairs, maintenance issues and technical needs/issues, etc.
9. Other duties as assigned
Qualifications
The successful candidate must have a High School Diploma or equivalent with a minimum of (2) two years of experience in an Office Support role. Advanced education will be considered in lieu of experience. Front Office experience is required.
Pay range: $15.00 - $16.25 per hour
Monday-Friday 8 am-5 pm
